How to Move, Copy, Import, and Export Emails on Cloud Mail

Managing emails well is important for any business and Cloud Mail makes this easier by letting you move, copy, import, and export emails on Cloud Mail in just a few steps. This guide will walk you through the basic functions so you can organize your inbox, bring in messages from other email clients, and save copies of important emails when needed.

Moving, Copying, Importing, and Exporting an email is one of the essential functions of Cloud Mail. It will be beneficial if you wish to manually move an email to a separate folder or import an email that you have downloaded from a different email client.

In this article, we will discuss:

How to Move an Email

  1. Sign in to your Cloud Mail in your internet browser.
  2. In the address bar, type mail.<your domain name>.<your domain extension>.
    For example, if your domain is janesbagels and your domain extension is .com, you should type mail.janesbagels.com in the address bar.

  3. Select the email you want to move by clicking on that email under the Inbox.
  4. Click the Move icon.

  5. A pop-up window shows you to select a specific folder by clicking on it. The Drafts folder has been clicked in the image below as an example.

  6. Click Move.

  7. Once it’s done, the email will be removed from the Inbox, indicating that the email has been successfully moved to the Drafts folder. By clicking on the Drafts folder, the email will be visible.

  8. To select multiple emails, use the left Ctrl button under the Shift button on your keyboard, then click each email you want to move. The selected emails will be highlighted in the image below.

  9. Drag the selected emails from your Inbox and drop them in the selected folder. The Drafts folder will be used as an example of this.
  10. Once done, the selected emails will be removed from the Inbox.
  11. To view the emails you have recently moved, click on the folder, which should be visible.

How to Copy an Email

Use the steps below to copy an email without moving the original email.

  1. Select the email that you want to copy.
  2. Click the ellipses (three horizontal dots) in the top-right of the email.

  3. Select Copy.

  4. Click the folder where you wish to copy the email. The Drafts folder will be used as an example of this.

  5. Click Copy.

  6. A confirmation will appear that the email has been successfully copied to that folder. Since you just copied the email from the Inbox, the email will still be visible from the Inbox folder.

  7. To show the copied email in the selected folder, click on it, and it should be visible.

How to Import an Email

Follow the steps below on how to import an external email saved in EML format, a common file extension used by email applications when exporting or downloading emails. This format, short for Electronic Mail, ensures compatibility across various email clients.

  1. Download the email that you want to import and ensure it uses an EML format.
  2. Access your Webmail in the browser via mail.yourdomain.ext.
  3. Drag the EML file from the folder where it was downloaded. A message will appear when you hover your mouse over the Inbox folder.

  4. Once the EML file is dragged and dropped, a confirmation message should show that the mail has been successfully imported.

  5. The imported email should then be visible in the Inbox folder.

 

How to Export an Email

Below are the steps on how to export or retrieve an email using the .EML file. Follow the steps accordingly.

  1. Select the email that you want to export.
  2. Click the ellipses (three horizontal dots) in the top-right of the email thread.

  3. Click Save as file.

Note: Sometimes your browser/computer may detect .EMLs as suspicious, in the top right of your browser it should allow you to 'keep' the file if that comes up, otherwise disregard this step.
