Task Components in Cloud Mail
This guide explores the various task components in Cloud Mail, including how to create new tasks, manage task folders, and utilize the tasks toolbar for efficient task management.

Settings
To open the settings menu, click on the settings icon at the top-right corner, and the following functions will show:
- All settings — This will open a new window showing all the available settings, including notifications, security, accounts, mail, and more.
- Themes — Choose which theme you want to use as your background. To show all the available themes, click on the View more option.
- List Options — Choose which list option you want to see by clicking on it.
- Checkboxes — shows a checkbox in each task on your list.
- Simple — shows a simple view of tasks without checkboxes.
- Checkboxes — shows a checkbox in each task on your list.
- Subscribe to shared task folder - set which public and shared task lists to display together with your task folders by subscribing to the task lists.
- Connect your device — Launch a setup wizard to connect your device with local apps to access groupware data.
New Task Button
The New Task button will allow you to create a new task. To access this, follow the steps below:
- Click the hamburger icon found at the top-left corner.
- In the Apps menu, select Tasks. The New task button should show as seen in the image above.
- To begin creating a task, click the New task button, and the Create task window will show.
Tasks Folder View
This is where all the task folders created will show.
- My lists — contain the personal tasks created.
- Public tasks — have tasks shared with all users.
- Shared tasks — includes tasks shared with you by other users.
Tasks Toolbar
This contains functions for editing and organizing tasks.
- Edit icon
— This will edit the selected task's data.
- Due icon
— This will change the selected task's due date.
- Undone
or Done
icon — This will mark a task as done or undone.
- Delete icon
— This will delete the selected task.
- More actions icon
— This will open a menu with functions for managing tasks.
Tasks Editing Window
The editing window is used when creating a new task or editing an existing one.
To open the window, select one of the following:
- If you are editing an existing task, choose a task and click the Edit icon.
- If creating a new task, click the New task button.
Once done, a window should show as seen below:
- Subject — The subject name is displayed as the task title. Click on the field provided and enter the title of the task that you want to create.
- Description — Enter the task’s description here. This is optional.
- Expand form — This will display additional input fields.
- Start date — Click on the field, and the date picker will open. You can then select a start date for the task.
- Due date — Click on the field, and the date picker will open. Then, choose a due date for the task.
- All day — Defines whether the task is supposed to last a whole day. If disabled, an extra field will show in the Start date and Due date field, and you can manually input the time.
- Repeat — Define whether the task is to be repeated.
- Reminder — Define how and when you want to be reminded about the due date of a task. You can also set a date and time for the reminder in the Reminder date field.
- Status — Define the task’s status. You can also enter a percentage value for task completion in the Progress field.
- Priority — Define the task’s priority.
- Private — Tick the checkbox to enable the option if users do not want to see the task’s subject and description.
- Add contact — Enter the names of the participants who will participate in the task in this field.
- Add attachment — This option will enable you to add files to the task.
- Show details — This option will display additional data fields where you can enter billing details such as estimated efforts, actual efforts, or billing information.
