How to Add and Manage Contacts in Cloud Mail

Managing your contacts includes keeping track of and saving information about customers. In addition to giving you access to your customers' data, it helps you expand your consumer base. The ability to efficiently add and manage contacts in Cloud Mail is paramount. It streamlines communication by providing easy access to customer data and empowers businesses to cultivate and expand their clientele.

Important: This article applies to Network Solutions customers with Cloud Mail. To determine your email version, see How Do I Determine My Email Platform?
Note: In your Mail, Calendar, or Tasks app, you can view a contact’s data by doing the following:
  • Select an email and click on the sender or recipient.
  • Select a task or an appointment and click on a participant.

Follow these steps to create a new contact:

  1. Click the Address Book icon.

  2. Click the New contact button on the left.

  3. Enter the contact’s data.
  4. Click the Save button.

The standard file format for an electronic business card is a vCard. You can add a new contact to your address book by email with a vCard attachment.

Follow these steps to add a contact from an email with a vCard attachment:

  1. Open an email with a vCard attachment.
  2. Click on the vCard attachment.
    Note: By default, a vCard attachment ends with .vcf.
  3. Select Add to address book from the options.

  4. Then, enter any information you would like to add and click Save.

Follow these steps to send an email from an address book:

  1. Click the Address Book icon.

  2. Choose a single contact, multiple contacts, or a distribution list from an address book list.
  3. Then, click on the Send email icon.

  4. Complete the necessary information to send the email, then click Send.

You can invite contacts or the contacts of a distribution list to an appointment from within your address book.

Follow these steps to invite contacts to an appointment:

  1. Click the Address Book icon.

  2. Choose a single contact, multiple contacts, or a distribution list from an address book list.
  3. Click the Invite to appointment icon.

  4. Complete the necessary information to create the appointment, then click Create.

You can move or copy contacts or distribution lists to a different address book, but you cannot move or copy contacts or distribution lists to a global address book and vice versa.

Follow these steps to move or copy contacts or distribution lists to another address book:

  1. Click the Address Book icon.

  2. Choose a single contact, multiple contacts, or a distribution list from an address book list.
  3. Click the More actions icon More Actions in the toolbar, then select Move or Copy.

  4. Select an address book you want to move or copy your contacts to.
    • You can create a new address book by clicking the Create folder button.
  5. Click Move or Copy.

The standard file format for an electronic business card is a vCard. You can send a contact or a distribution list as a vCard attachment in your email. Follow these steps:

  1. Click the Address Book icon.

  2. Choose a single contact, multiple contacts, or a distribution list from an address book list.
  3. Click the More actions icon More Actions in the toolbar, then select Send as vCard.

  4. Complete the necessary information to send the email, then click Send.

You can utilize the following formats to import contacts:

  • vCard
    • Make sure that the vCard data in the file you import is correct.
      Note: You can only import one business address and one private address per contact. Additional private and business addresses included in a vCard file will not be imported.
  • CSV
    • Standard CSV files with comma-separated values
    • CSV files from Microsoft Outlook 2003 or 2007 (French, English, and German language versions)

Follow these steps to import contacts:

  1. Click the Address Book icon.

  2. Select an address book in the Folder view.
  3. Click the Actions icon More Actions next to the address book, then select Import.

  4. Choose a file format and click on Upload file.
  5. After selecting the file from your computer, then click Import.

The contacts have now been added to the address book.

You can utilize the following formats to export contacts or distribution lists:

  • vCard - allows you to exchange contacts with other email applications.
  • CSV - enables you to export contacts to spreadsheet formats.

Follow these steps to export contacts or distribution lists from an address book:

  1. Click the Address Book icon.

  2. Choose a single contact, multiple contacts, or a distribution list from an address book list.
  3. Click the More actions icon More Actions in the toolbar, then select Export.

  4. Select a format. To export contacts and distribution lists, enable Include distribution lists.
  5. Click Export.

Follow these steps to export contacts directly from an address book folder:

  1. Click the Address Book icon.

  2. Choose a public or personal address book in the Folder view.
  3. Click the Actions icon More Actions next to the address book, then select Export.

  4. Select a format. To export distribution lists and contacts, enable Include distribution lists.
  5. Click Export.

You can choose from different print layouts and print the data of one or more contacts.

Follow these steps to print a contact's information:

  1. Click the Address Book icon.

  2. Choose an address book, then select a single contact or multiple contacts from the list.
  3. Click on More actions in the toolbar, then choose Print.

  4. Select a print layout, then click Print. Complete the steps before starting the printing process.
  5. Close the print preview window.

Important: You can no longer restore deleted contacts or distribution lists.

Take note of the following when deleting contacts or distribution lists:

  • You can delete contacts or distribution lists from an address book if you have permission.
    To view and modify permissions, click the Actions icon More Actions next to a specific address book, then click Share/Permissions.

    Note: You cannot delete contacts from the global address book.
  • If you Delete a distribution list, it will not delete the contacts in that distribution list.

Follow these steps to delete contacts or distribution lists:

  1. Click the Address Book icon.

  2. Choose a single contact, multiple contacts, or a distribution list from the address book list.
  3. Click on Delete in the toolbar.

  4. You can delete the contacts or distribution lists by clicking the Delete button.
