Cloud Mail Calendar FAQs

The calendar is a scheduling tool integrated with your contacts, emails, and more. Using the calendar, you can create/edit appointments, organize meetings or events, view schedules, and more.

Below are some of the frequently asked questions about the email calendar. Please select from the options below.

The calendar toolbar contains different icons and buttons for adding, editing, and organizing your calendar. For more information on using various icons and buttons in your Calendar app, check out Cloud Mail Calendar Components.

To view the appointments in your Calendar, follow the steps below:

  1. Once logged into Cloud Mail, click on the Calendar icon Calendar icon.
  2. You will have the following options:
    • Open the Calendar view by selecting Day, Workweek, Week, or Month from the drop-down box on the upper-right portion of your calendar sheet.

    • Open the List view by choosing List from the drop-down box on the upper-right portion of your calendar sheet.

  3.  Click on an appointment to see its details.

Depending on the availability, public appointments will display in the following colors and patterns:

  • Free - selected appointment color with broad diagonal stripes
  • Booked - selected appointment color

If you do not select a color for an appointment, your calendar color will be used. Depending on the appointment confirmations, public appointments will show as follows:

  • Accepted appointments will show in the color and pattern of the availability.
  • Unconfirmed appointments will display with question marks.
  • Declined appointments will show in light gray with a strikethrough.

In the calendar settings, you can set if you want to display declined appointments. For instructions on how to do so, please see Cloud Mail Calendar Components.

Note: In public or shared calendars, you will only see the colors of appointments you have created.

Private and secret appointments will display as follows:

  • Private appointments are shown in gray and marked with the Private icon Private icon.
    • Users that are not participants can only view the appointment date in shared calendars.
  • Secret appointments are displayed in gray and marked with the Private icon Private icon.
    • Users that are not participants cannot view the appointment in shared calendars. Secret appointments are not considered for conflict handling.

Secret appointments will not be displayed in the scheduling view. For more information about the Scheduling View, please see Cloud Mail Calendar Components.

You can display time zones you have marked as favorites in addition to the default time zone. You can change the default time zone in the basic settings. To display Multiple Time Zones in your calendar, please see the steps in How to Manage Appointments in Cloud Mail.
