How to Use Guard Encryption with Your Webmail

Learn how to use Guard Encryption. By enabling Guard Encryption in your webmail, your email communications are encrypted. With email encryption, a plain text message will be converted into a message that is difficult for cybercriminals to decipher. The encrypted email will be password-protected and you can reset the password to recover a lost Guard Encryption password in webmail.

Important:
  • Guard Encryption is only available if you have purchased Professional Email Plus, and it works only in webmail and not when using third-party email clients like Outlook.

How to Set Up Guard Encryption

Before using Guard Encryption for the first time, you must set up a security password and secondary email address. The security password will be used when sending and accessing encrypted data, and the secondary email address will be used to securely reset your password if it is forgotten.

Set Up Guard Encryption in Cloud Mail

Below are steps to setting up webmail Guard Encryption:

  1. Go to the address bar and type in mail.<your domain name><your domain extension>. For instance, if your domain name is "example" and your domain extension is ".com", the URL you should type in the address bar is mail.example.com.
  2. Enter your login credentials.
  3. Once logged in, look for the gear icon and click on All settings.

  4. Once you have accessed the settings, click on Guard, located in the left-hand menu, and then click Start to begin the process.

  5. You will see a welcome pop-up, where you must click on Start Setup to proceed.

  6. Create a password that you will use to encrypt data and confirm it. Additionally, add a secondary email address in the Email field. This email will be used to receive a temporary password whenever you want to reset your Guard security password.

  7. You have successfully set up Guard Encryption.

Set Up Guard Encryption in Webmail v.7.10.2

Follow the steps below:

  1. Go to the address bar and type in mail.<your domain name>.<your domain extension>. For instance, if your domain name is "example" and your domain extension is ".com", the URL you should type in the address bar is mail.example.com.
  2. Enter your login credentials.
  3. Once logged in to webmail, select Settings from the System menu icon, then select Guard Security Settings.

  4. Click on the Start button.
  5. When using Guard Encryption for the first time, a panel prompts you to set up your password, and a secondary email appears.

Once you have successfully set up Guard Encryption, you can now enable it when composing emails.

How to Enable Guard Encryption

Enable Guard Encryption in Cloud Mail

To enable Guard Encryption in webmail, follow these instructions when creating an email:

  1. When creating a new email, activate Guard Encryption by clicking the lock icon.

  2. You will be prompted to input your Guard Encryption password and select how frequently you want to be asked to enter it. If you forget your password, click on Forgot Password. You will be redirected to your Guard settings, where you can reset your Guard Encryption password in webmail.

  3. Once you have entered your password, click the OK button. By doing so, you have activated Guard Encryption, and you will be presented with two options:
    • Sign email: This enables you to send an email with a signature that tells the recipient you sent it.
    • Attach my public key: To allow the email recipient to send an encrypted reply, you need to provide them with your public key, which is sent as an attachment.

You can now send encrypted emails with Guard Encryption.

Enable Guard Encryption in Webmail v.7.10.2

An email can be set to encrypted status before, during, or after composing the email. The email can be encrypted in two ways:

  1. Click on the Open Lock icon or Security Options.
    • Clicking the open lock icon will encrypt the email. The lock will close to indicate encryption.
    • The Security Options will appear under the Subject field. Select Secure.
  2. Once the encrypted email is ready to be sent, select Send Secure in the upper right corner.

You can now send encrypted emails with Guard Encryption in webmail.

Disable Guard Encryption in Cloud Mail

Disable Guard Encryption for your emails by following these steps:

  • When composing an email, you will see a lock icon. Click on it and unlock it.

  • If you have enabled the Default to send encrypted when composing email checkbox within your Guard Settings, you need to uncheck the box to turn off Guard Encryption.

Disable Guard Encryption in Webmail v.7.10.2

To disable Guard Encryption in Webmail v.7.10.2, simply click on the lock icon to unlock it when composing your emails. An open lock will indicate that the email is not encrypted.

How to Manage Your Guard Encryption Settings

Cloud Mail Settings

You will see the page displayed in the images below if you have already set up Guard Encryption. From here, you can manage your Guard Encryption Settings and will have the following options:

  • Guard Default Settings
    • Encrypt draft emails when composing encrypted emails: This option saves email drafts as encrypted when you compose an encrypted email.
    • Default to send encrypted when composing email: This option allows you to send encrypted emails by default.
    • Default to sign outgoing mails: This option lets you add your signature to outgoing emails by default.
    • Remember password default: This option allows you to select a time range for Guard Encryption to remember your password. You can update this default whenever you are asked for your Guard Encryption password.

  • Password Management (PGP) - You'll be provided with three options:
    • Change password: Enter your current security password, create a new one, and then verify your new password. Then, click the Change button.
    • Reset password: Reset your Guard Encryption password and send a new password to your secondary email address.
    • Set email address for reset: Enter your current security password and your new secondary email address, then verify it.

  • Your KeysYou can manage keys and perform various actions, such as:
    • Downloading your public key
    • Creating a new key
    • Uploading a private or public key
    • View and manage your key list

  • Recipient Keys
    • You can manage recipient PGP keys and perform various actions, such as:
    • Uploading a recipient key
    • Viewing or deleting public keys

  • S/MIME
    • Enable S/MIME: This option allows you to send and receive emails with S/MIME encryption, which stands for Secure/Multipurpose Internet Mail Extensions. It is the internet standard used to encrypt and digitally sign emails. Enabling this will allow you to upload a private certificate.

  • Advanced
    • Show advanced settings when composing mail: This will display advanced settings for Guard Encryption each time you compose emails.  
    • Autocrypt Setting: This is an email encryption feature that enables automatic encryption of emails. You can add your public keys in all outgoing emailssearch incoming emails for keys in headers, or import autocrypt keys without asking. Each email will include the sender's public key in the header, which the recipient can import manually or automatically.

      Note: Autocrypt does not automatically check imported keys to see whether they are correct or fake. Therefore, an automatically imported key is not used to verify the sender's signature.

    • Autocrypt transfer keys: Get an email with your current private keys.
    • Mail Cache: The email service provides two options for handling email decryption: Keep emails decrypted until browser is closed or Do not keep emails decrypted. Decryption is the process of transforming encrypted messages into their original plaintext format.

You will see the page shown in the image below if you have already set up Guard Encryption. From here, you can manage your settings and will have the following options:

  • Change your Guard Security password.
  • Reset your Guard Security password.
  • Change your secondary email.

Webmail Guard Encryption is a feature that allows the encryption of emails and files using a public-key infrastructure to prevent unauthorized access by cybercriminals. This tool is available in webmail for users who have purchased Professional Email Plus. With Guard encryption, you can encrypt email communication and files, share encrypted data, and customize encryption levels with password protection.
